Fleet Administrator - Newburyport, MA

SUPERVISION EXERCISED:  None.

SUPERVISION RECEIVED:  Reports directly to the Chief Financial Officer

COMPENSATION CLASSIFICATION:   Exempt; Salaried

Salary Range:  $70,000 - $80,000 per year 

RESPONSIBILITIES:

1.      Maintains records for agency vehicles, including registration, inspection, insurance, and preventive maintenance schedules.

2.      Coordinate routine preventive maintenance and urgent repairs to minimize downtime and keep vehicles operational.

3.      Coordination of loaner vehicles as needed.

4.      Develop and manage fleet-related expenses and budget to include recommending and implementing cost-saving initiatives.

5.      Prepare reports for management on costs, usage, efficiency, and maintenance status.

6.      Oversees mileage tracking, fuel usage, and compliance with agency policies.

7.      Assist in vehicle assignment, accident reporting, and driver documentation processes.

8.      Exercise independent judgment in selecting vendors, negotiating contracts, and resolving complex operational issues.

9.      Analyze fleet data to provide recommendations that significantly affect company efficiency, asset utilization, and financial performance.

10.   Conducts vehicle training, as needed, per program and type of vehicle, i.e. wheelchair vans

11.   Ensure compliance with DOT and all state and local regulations.

QUALIFICATIONS:

·        Bachelor’s degree in Business Administration, Logistics, or Supply Chain Management is preferred

·        Pass a CORI, Driving Record, DPPC Abuser Registry, and Fingerprinting checks

·        A minimum of 5 years fleet management experience strongly preferred

·        Ability to multi-task

·        Experience with GeoTab or similar fleet maintenance software

·        Must be detail oriented

·        Must maintain a valid driver’s license at all times

PHYSICAL REQUIREMENTS:

Position will require moderate sitting, standing, walking, and driving to meetings and events. On a weekly basis, the approximate standards include the following and are dependent on required workload:

·        Ability to sit for prolonged periods while performing computer-based tasks

·        Ability to view computer screens and printed materials for extended periods; must have adequate near vision for reading and data entry

·        Ability to hear and respond to telephone conversations and verbal communication in an office environment
